Managing WAM!NETŪ Content StudioSM Groups

Working with Content Studio Groups allows you to create or modify Content Studio Groups, establish access privileges for each group to Content Studio Libraries, and assign users to Content Studio Groups.

To access Content Studio Groups, you must have a Content Studio Archive Site selected in the Current Site drop down box. The Content Studio Archive sites are those with the letter A after them:

After selecting a Content Studio Archive site, you may view information about the Site:

From this screen, you can Edit Groups and Set Library Configuration Flags

 

Edit Groups:

1. Click on the Edit Groups button. You will see a list of all groups that have been created:

2. To create a new group, click on the New Group button:

3. Fill in the following information:

  • Group Name
  • Group Description
  • Group Status (Enabled or Disabled)

4. You will also see a list of Content Studio Archive Libraries owned by a customer. The Library names are listed in the left column, with each library's access privileges listed across the top.

Following is an explanation of the Library Access Privileges:

Letter Code: Type:
Administration Allows a user to grant library permissions to other users and user groups, and to purge or restore deleted assets.
Browse Granted by default, allows users to search and view assets within a library.
Delete Allows a user to flag assets as deleted.
Internet Accessible Enables a user to access an Internet accessible library from the Internet.
Modify Enables a user to modify asset metadata. 
Remove Local Copy  Removes a file from the Local Archive on a Media Transfer Device (MTD), the transport device for most types of time based media. 
Report on All Users  Allows a user to view reports on files shipped and files deleted for all users. 
Ship Files  Allows a user to ship files out of a library. 

5. Set this group's access privileges for each library.

Using the above example:

Members of My Group can "Report on All Users" within the and another library.
Members of My Group can "Browse", "Modify", "Remove Local Copy", "Report on All Users", and "Ship Files" within the Content Studio resource library.

6. Below the list of libraries, there is a screen that allows you to assign users to this group. Notice that 3rd party users are indicated by the asterisk (*). Third party users are users that are not owned by your customer.

7.To add users to this group, select a user from the Available box on the left, and click the Add button. To remove users from this group, select a user from the Selected box on the right, and click the Remove button.

 

8. Be sure to click on Update Information when you are finished entering the appropriate information.

 

Set Library Configuration Flags

Configuration flags help define access and usage of a Content Studio Library.

1. To set a Library's configuration flags, be sure that you have the correct Library selected in the Current Site box at the top of your screen. Content Studio Library sites are those with the letter "A" after the name:

2. You'll see a screen, with the available configuration flags below the Site's information:

Following are explanations of the flags:

Internet Accessible Unchecking this flag will limit library access to WAM!NETŪ Direct!SM Service only.
Allow Duplicate Asset Names If checked, you may store unlimited assets with the same Asset Name. If unchecked, and Overwrite Duplicates is also unchecked, an asset being stored with a duplicate asset name of one that is already stored will be rejected and an email message will be generated.
Overwrite Duplicates If checked, already stored assets will be overwritten by newly stored assets with the same Asset Name. An email will be generated. Overwritten assets may be purged or restored by the library administrator. See Content Studio Online help for more information on purging/restoring.
Extract PhotoShop Fields If checked, information will be extracted from the file during the store process and added to the metadata of the asset.
Generate MPEG If checked, an MPEG-1 proxy video will be generated for supported video file types.
Generate Audio Preview If checked, a low quality preview will be generated for supported audio file types.
Index File Content This flag should be checked if you want the content of the following file types searchable in the All Fields search box: PDF, Post Script, EPS, ASCII Text Files, MS Word, MS PowerPoint, RTF.
Use Filename as Job ID If checked, will replace the Job ID field with the filename on a job ticket during the ship process. Useful if you are sending one file per package. Within WAM!NETŪ Info CenterSM Package Tracking, the filename will appear as the Job ID.
Generation of Thumbnails  If checked, thumbnail images will be generated for supported file types during the store process. 
Preserve Extensions in Asset Name  If unchecked, the file name extension (if one exists) will be stripped before storing the file name in the Asset Name field. The file name is not altered. If a file name had an extension when it was stored, it will have an extension when it is shipped from the library, regardless of the flag setting. Note: This setting can not be changed in Info Center. To have this flag setting changed, please visit support.wamnet.com. 
Generate Story Board  If checked, a story board will be generated for supported video file types during the store process. 
Generate Internet Proxy Video  If checked, QuickTime and Real Networks proxy videos will be generated for supported file types. 
Super Thumbnail  (300x300, 400x400, 500x500) You may choose one size for super thumbnail images. Only available when the Generate Thumbnail flag is checked. 
Generate JPEG preview for supported image types  If checked, a JPEG preview will be generated for supported image file types.  

  Note: Changing the configuration flags for a Content Studio Library via Info Center does not change assets that are already stored in a Library. For example, if Generate Thumbnails is changed from ON to OFF, the user will still see thumbnail images for assets previously stored; however assets that are subsequently stored will not show thumbnail images.
